Quotes

To add new, edit existing, or delete quotes, select Maintain | Quotes

Add a New Quote

To add a new Quote, click the Add New button. A blank form appears.

A valid entry requires a Code, a Description, and a Bill-To account.

  • Quote Code can be up to twenty (20) characters in length and is an alpha numeric field.
  • Quote Description can be up to 50 characters in length.
  • Bill-To can be selected from the drop-down list.
  • .

Click the Save Changes button to continue.

Additional flags include.

  • Inactive – When checked, the selected Quote is set to inactive. It will not appear in any drop down lists on other screens.

To undo any changes click the Undo Changes button.

General

Distance

Use this feature to allow for a distance based freight charge when processing a  transaction using a Job. To learn more go to the Freight Rate Distance - Mile Per Ton page. 

Bill-To

The Bill-To drop-down list is a list of all customer accounts in the Account table. Select the account to be billed for the material for this quote.

Default Price

The Default Price table is replaced with the default price table for the selected Bill-To Account.  Rates for material items added to the quote will initially be pulled from the default price table. Rates can easily be changed.

Default Tax

The Default Tax code is replaced with the default tax code for the selected Bill-To Account. If needed, a different tax code can be selected.

PO

This is an additional value. It can be viewed from the Weigh from when the quote is selected and printed on tickets. Users will often leave this field blank and use the PO number as the Quote Code.

Release

This is an additional value. It can be printed on tickets.

Hauler

Leave the value set to Transient Trucks to allow multiple haulers to haul for a single quote. When a specific hauler is selected from the drop-down list only trucks from the selected hauler account will be able to process transactions when the quote is converted to a job.

Dates

The Dates fields are used to track the Quote, Order, Start, and Expires dates of a Quote.

  • Quoted date field will contain the current day. Use the calendar control to change the date if desired.
  • Expires date field can be used if quoted prices are good for a certain amount of time. This date will appear on printed quotes.

Bill-To Address

The Bill-To Address will be printed on the quote. To use Address 1 from the Accounts table, check the box "Use Invoice Bill-To Address". To reference an address other than the address in the accounts table leave the box unchecked and enter the additional address in the space provided.

The address will be copied to the job table when the quote is converted to a job.

Ship-To Address

The Ship-To Address will be printed on the quote. To use Address 2 from the Accounts table, check the box "Use Invoice Ship-To Address". To reference an address other than the address in the accounts table leave the box unchecked and enter the additional address in the space provided.

The address will be copied to the job table when the quote is converted to a job.

Special Instructions

Use these fields to enter special instructions such as directions or material destinations. These instructions and notes can be printed on tickets.

Edit an Existing Quote

Change the Quote Code

To change the Quote Code for an existing quote, select the quote from the list or use the search field. Make desired changes and click the Save Changes button. A window similar to the following appears.

  • Click the Change existing code button to change the code and save.
  • Click the Cancel button to not save changes and restore the original value
  • Click the Make a copy instead button to create a new record. 

Change the Quote Description

To change the Quote Description for an existing quote select the quote, from the list or use the search field. Make desired changes and click the Save Changes button. A window similar to the following appears.

  • Click the Change description button to save the changes and return to the Account Table.
  • Click the Cancel button to cancel all changes.

Delete a Quote

To delete a Quote select the quote from the list or use the search field and click the Delete Record button. A window similar to the following will appear.

Click Yes to delete the account.

Viewing

Use the Viewing drop-down to limit the records in the list.
