Void invoice Examples

Example #1 - Correcting a transaction where the Bill-To account does not change

  • Select Accounting | Invoicing
  • Click the  View / Reprint /Void Invoices button
  • Enter the invoice number to be voided
  • Click the  Void Invoice button.
  • Click the  Void Invoice button to confirm.
  • Select Quick Scan
  • Use the selection criteria to search for the transaction(s) to edit.
  • Edit the transactions and save changes.
  • Select Accounting | Invoicing
  • Generate a new invoice (or use the Copy feature to copy settings from a previous invoice process)
  • Set criteria to recreate the invoice.
    • - Select only the account to be reinvoiced.
  • Click the Create invoices button to review.
  • Click the Post Invoices button to post and print the invoice.

Example #2 - Transaction billed to the wrong customer

The following is an example of how to correct and reinvoice a transaction billed to the wrong Bill-To account.

There are two methods to process transaction(s) applied to the wrong Bill-To account. The invoice the transaction(s) appeared on and the invoice the transactions(s) should have appeared on could both be voided. Once the transactions(s) are corrected, both Bill-To accounts can be reinvoiced.

  • Select Accounting | Invoicing
  • Click the  View / Reprint /Void Invoices button
  • Enter the invoice number the transaction(s) was incorrectly applied to.
  • Click the  Void Invoice button.
  • Click the  Void Invoice button to confirm.
  • Enter the invoice number the transaction(s) should have been applied to.
  • Click the  Void Invoice button.
  • Click the  Void Invoice button to confirm.
  • Select Quick Scan
  • Use the selection criteria to search for the transaction(s) to edit.
  • Edit the transaction(s) and save changes.
  • Select Accounting | Invoicing
  • Generate a new invoice (or use the Copy feature to copy settings from a previous invoice process)
  • Set criteria to recreate the invoice.
    • - Select only the accounts to be reinvoiced.
  • Click the Create invoices button to review.
  • Click the Post Invoices button to post and print the invoice.

Example #3 - Transaction billed to the wrong job

The instructions in example 2 can also be used when transaction(s) have appeared on the wrong invoice when using the option to sort transactions by Job with the flag to create a "New invoice for each job" is set. The Bill-To customer account is the same, but the job is different.

  • Select Accounting | Invoicing
  • Click the  View / Reprint /Void Invoices button
  • Enter the invoice number the transaction(s) was incorrectly applied to.
  • Click the  Void Invoice button.
  • Click the  Void Invoice button to confirm.
  • Enter the invoice number the transaction(s) should have been applied to.
  • Click the  Void Invoice button.
  • Click the  Void Invoice button to confirm.
  • Select Quick Scan
  • Use the selection criteria to search for the transaction(s) to edit.
  • Edit the transaction(s) and save changes.
  • Select Accounting | Invoicing
  • Generate a new invoice (or use the Copy feature to copy settings from a previous invoice process)
  • Set criteria to recreate the invoice.
    • - Select only the accounts to be reinvoiced.
  • Click the Create invoices button to review.
  • Click the Post Invoices button to post and print the invoice.

Example #4 - Voiding Invoices processed from a different site.

When remote sites are allowed to process their own invoices only the server database is allowed to void and recreate an invoice. However, Once the server voids an invoice and DataSync synchronization is complete any location with access to the transactions will be allowed to edit the transactions. Once the transactions have been edited and synchronized with the server, the server location is able to recreate and post the invoice.
