Jobs
To add new, edit existing, or delete jobs, select Maintain | Jobs. A window similar to the following will appear.
Add a New Job
To add a new Job, click the Add New button. A blank form appears.
A valid entry requires a Job Code, a Job Description, a Bill-To account, and an Ordered date.
- Job Code can be up to twenty (20) characters in length and is an alpha numeric field.
- Job Description can be up to 50 characters in length.
- Bill-To can be selected from the drop-down list.
- Ordered date field will contain the current day. Use the calendar control to change the date if desired.
Click the Save Changes button to continue.
Additional flags include Inactive and Revoked.
- Inactive – When checked, the selected Job is set to inactive. It will not appear in any drop down lists on other screens.
To undo any changes click the Undo Changes button.
General
Distance
Use this feature to allow for a distance based freight charge Freight Rate Mile per Ton.
Bill-To
The Bill-To drop-down list is a list of all customer accounts in the Account table. Select the account to be billed for the material for this job.
Default Price
The Default Price table is replaced with the default price table for the selected Bill-To Account. Rates for material items added to the job will initially be pulled from the default price table. Rates can easily be changed.
Additional Price Table Information
Additional features regarding price table and rate defaults can be found in Setup | Configure - Jobs.
- Default new Job and Quote items to use rates from the selected price table.
- Ignore the default job price and use rates from the location's default price table.
Default Tax
The Default Tax code is replaced with the default tax code for the selected Bill-To Account. If needed, a different tax code can be selected.
PO
This is an additional value. It can be viewed from the Weigh from when the job is selected and printed on tickets. Users will often leave this field blank and use the PO number as the Job Code.
Release
This is an additional value. It can be printed on tickets.
Hauler
Leave the value set to Transient Trucks to allow multiple haulers to haul for a single job. When a specific hauler is selected from the drop-down list only trucks from the selected hauler account will be able to process transactions for that Job.
Sales Person

Limit Availability by Item Location
When checked the job will be synchronized using our DataSync module to just the locations where selected materials are available.
One Ticket for this Job
Only one transaction can be generated for a job using this feature. Additional transactions will not be allowed.
Dates
The Dates fields are used to track the Quote, Order, Start, and Expires dates of a Job.
- Quoted - The quoted date will carry over from the Quotes table when used.
- Ordered - This field is populated with the system date when a new job is added. It can be changed using the calendar control to the right of the field. The job will not appear in the Weigh form if the field is left blank.
- Starts - This field can be used to keep the Job from appearing in the Weigh form between the time the job is ordered and the time when the job will start. For example, an order is placed on 4/17/2019, but the job may not start until 5/1/2019. The Job will not appear in the Weigh from drop-down list until the Starts date.
- Expires - Jobs with an expiration date will not appear in the Weigh form.
Bill-To Address
The Bill-To Address field is optional. It can be used to store an address associated with the job. This address can be printed on tickets. It can also be printed on invoices in place of the Bill-To Account Address.
When the Use Invoice Bill-To Address box is checked the job Bill-To Address will reference the address from the account table.
Ship-To Address
The Ship-To Address field is optional. It can be used to store an address associated with the job. This address can be printed on tickets. It can also be printed on invoices in place of the Ship-To Account Address.
When the Use Invoice Ship-To Address box is checked the job Ship-To Address will reference the address from the account table.
Special Instructions
Use these fields to enter special instructions such as directions or material destinations. These instructions and notes can be printed on tickets.
Custom Fields
Five additional custom note fields can be activated. These fields will only appear when active. To activate custom fields, select Setup | Configure - Jobs.
Edit an Existing Job
Change the Job Code
To change the Job Code for an existing job, select the job from the list or use the search field. Make desired changes and click the Save Changes button. A window similar to the following appears.
- Click the Change existing code button to change the code and save.
- Click the Cancel button to not save changes and restore the original value
- Click the Make a copy instead button to create a new record.
Change the Job Description
To change the Job Description for an existing job select the job, from the list or use the search field. Make desired changes and click the Save Changes button. A window similar to the following appears.
- Click the Change description button to save the changes and return to the Account Table.
- Click the Cancel button to cancel all changes.
Delete a Job
To delete a Job select the job from the list or use the search field and click the Delete Record button. A window similar to the following will appear.
Click Yes to delete the account.
Error
A Job cannot be deleted from the database if it is associated with a record in another table; such as the account, transaction table, truck table etc.
If a transaction has not been created for the Job it may be possible to edit the other tables and remove or change the job and try deleting it again.
If a transaction has already been created for the Job, it is best to set the account Inactive.
Viewing
Use the Viewing drop-down to limit the records in the list.
